Privacy Policy.

How we collect, use, and protect the information you share with us when using Ask Your Manager.

The short version: We collect only what we need to build your tool. We don't sell your data, share it with third parties, or use it to train AI models. You can request deletion at any time by emailing info@deskcush.com.

Who we are

Ask Your Manager is a product built and operated by DeskCush. When this policy refers to "we", "us", or "our", it means DeskCush.

We are based in the United Kingdom. For questions about this policy or your data, contact us at info@deskcush.com.

What data we collect

We collect information in two ways: through the setup form when a leader or organisation signs up, and through the tool itself when team members use it.

We do not collect payment card details directly — payments are handled by third-party processors.

Where your data is stored

Your data is stored across the following services, all of which operate under their own privacy and security standards:

Google Sheets Setup form responses and submission metadata
Google Drive Uploaded files (logos, documents, policies)
Netlify Hosted tool and serverless functions
Upstash Redis Daily usage counters (no personal data — client ID and count only)
Anthropic API Queries sent to the AI are processed in real time and not stored by us

On Anthropic: When a team member submits a question through the tool, that query is sent to Anthropic's API to generate a response. Anthropic's policy is that API data is not used to train their models by default. We recommend not including personally identifiable information about real individuals in queries.

How we use your data

We use the information you provide solely to:

— Build and configure your Ask Your Manager tool
— Deliver your tool link and communicate about your account
— Enforce usage limits in line with your plan
— Improve the product based on anonymised, aggregate usage patterns

We do not sell your data. We do not share your data with third parties for marketing or advertising purposes. We do not use your data to train AI models.

Data retention

We retain setup form data and uploaded files for as long as your tool is active. If you cancel or request deletion, we will remove your data within 30 days.

Usage counters in Redis expire automatically after 48 hours. They contain no personal data.

To request deletion of your data at any time, email info@deskcush.com with the subject line "Data deletion request".

Your rights

Under UK GDPR, you have the right to:

Access the personal data we hold about you
Correct inaccurate data
Delete your data (the right to erasure)
Restrict how we process your data
Object to processing
Portability — receive your data in a portable format

To exercise any of these rights, contact us at info@deskcush.com. We will respond within 30 days.

Security

We take reasonable technical and organisational measures to protect your data, including:

— API keys stored as encrypted environment variables, never in code
— Access to Google Sheets and Drive restricted to DeskCush only
— All data transmitted over HTTPS
— Usage counters contain no personal information

No system is completely secure. If you believe your data has been compromised, please contact us immediately at info@deskcush.com.

Sensitive information

Some clients — particularly those in education, sport, health, or care — may include safeguarding procedures, HR policies, or other sensitive operational information in their setup form.

We treat this information with additional care. It is accessed only for the purpose of building your tool and is not used for any other purpose.

Important: We recommend that neither leaders nor team members include personally identifiable information about real individuals — clients, staff, or third parties — in their tool setup or queries. The tool is designed to capture how a leader thinks, not to store sensitive case information about specific people.

Changes to this policy

We may update this policy from time to time. When we do, we will update the "last updated" date at the top of this page. Significant changes will be communicated to active clients by email.

Continued use of Ask Your Manager after changes are posted constitutes your acceptance of the updated policy.
